Who we are

All our Kilimanjaro tours and adventures are managed by Winds of Hope Pty Ltd, a registered Australian Company and Registered Australia Charity, ABN 17616816052.

Application of Terms

These Terms and Conditions outline the agreement between you, the Client, and Winds of Hope Limited ("the Company"). They apply whenever:

  • You book a tour directly with Winds of Hope;

  • You book via our authorized sales partners.

By proceeding with any booking through these means, both parties agree to be bound by these Terms and Conditions.

Our Commitments to You

We affirm that:

  • We use local, Moshi or Arusha-based Tour Operators who are KINAPA registered an approved Mount Kilimanjaro operators.

  • Our promotional content reflects accurate, truthful representations of our services;

  • We independently manage all our tours, except for external accommodations and flights;

  • Our operations contribute positively to local communities and support organizations;

  • We follow strict environmental guidelines to protect and preserve Tanzania's natural beauty.

Handling Your Personal Data

To organize your tour, we collect essential information: name, age, nationality, passport details, dietary and medical info. This is shared only with relevant authorities and service providers as needed. At the conclusion of your tour, we delete these your passport details and any medical details within 7 days.

Secure Communications

To avoid scams, communicate only via:

  • Emails ending in @windsofhope.org.au or @kilimanjaro.org.au

  • Phone numbers listed on our official website or in official correspondence to you regarding your booking

Booking & Payment

Reach out via email or our web site to begin planning. A dedicated travel consultant will coordinate your arrangements. Once finalized, we’ll issue an invoice for your deposit.

Your booking is confirmed upon receipt of the deposit. Full payment is due at least 60 days before your trip unless otherwise arranged.

You are responsible for all banking and transaction fees. Credit card payments may incur a 1.5% surcharge. Any underpayments must be settled prior to arrival.

Booking for Minors

You must be 18 or older to book. Parents or legal guardians must book for minors and assume full responsibility, including legal compliance for travel. Minors must always be supervised. Minors under the age of 10 are not permitted to climb Kilimanjaro irrespective of fitness or experience. We do not many any exceptions for this rule.

Third-Party Bookings

If you're a tour leader or agent booking for others, you're responsible for:

  • Sharing these Terms with participants;

  • Timely and complete payments;

  • Communicating changes;

  • Providing accurate participant info.

If this is not feasible, each participant should book individually.

Pricing

Once confirmed, your tour price will not change.

Itinerary Changes

Client-initiated changes are free if they don't incur extra costs. Additional expenses are your responsibility. No refunds for missed services or early departure.

Company-initiated changes may occur due to uncontrollable circumstances (e.g., weather). We'll inform you promptly.

We’re not liable for delays or disruptions beyond our control (e.g., flight delays or acts of nature). You must cover related costs.

Date Changes

You must inform us of changes at least 60 days before your original start date. New travel dates must fall within a year. Extra fees may apply due to airline/hotel penalties or seasonal rates.

Cancellations

Prior to tour departure all cancellations must be in writing. Winds of Hope will retain a percentage of the trip cost dependent upon the receipt date of the cancellation notice. If the trip is cancelled:

90 days or more before departure: Cancellation fees equal the amount of your deposit
30 or less days before departure: 50% of the full price is non-refundable
7 days or less before departure: 100% of the package price is non-refundable

You will also be responsible for any fees imposed by hotels, airlines etc., that are not included in our tour prices.

If Winds of Hope cancels your tour, we will issue a full refund.

Travel Documents & Visas

Ensure your passport is valid for six months beyond entry with two blank pages.

Obtain your Tanzanian visa online. We provide general advice, but official guidance from Tanzanian embassies is recommended.

We aren’t liable if you're denied entry or unable to travel for any reason. No refunds or rescheduling will be available in such cases.

Accommodation

Group trips include double/twin room sharing. Solo travelers will be matched with a same-sex roommate unless a single supplement is paid.

Accommodation on Kilimanjaro involves shared tents. Single tents are available upon request, except on routes where park rules prohibit it.

Private tours' accommodations are arranged case by case.

Fitness & Medical Readiness

You're responsible for assessing your health and fitness. We may request medical forms. Serious health conditions may require a doctor’s approval.

Failure to disclose medical conditions or submit forms can lead to tour cancellation without refund. If your condition deteriorates during a tour, we may cancel your participation for safety.

Notify us at least 30 days in advance of any special dietary or medical needs. While we’ll try to accommodate, we cannot guarantee full support for all special requirements.

Travel Insurance

Insurance is mandatory. Your policy must cover medical emergencies, evacuations, cancellations, and high-altitude trekking if climbing Kilimanjaro. Winds of Hope may disqualify you from the tour without insurance. We assist with claims but bear no responsibility for outcomes.

Vaccination Guidelines

We offer general advice on vaccinations, but consult a medical professional to determine what’s necessary for you. At minimum, a valid Yellow Fever vaccination is mandatory to enter Tanzania and many African countries.

Guide Authority

You must follow all instructions from our guides once your climb of Kilimanjaro begins. Decisions regarding safety, itinerary, and logistics rest with the chief guide, whose authority is final.

Travel Risks

Travel to remote areas may expose you to risks not found at home. You accept full responsibility for such risks and release Winds of Hope from liability for loss, injury, or death arising from them.

Client Liability

You’ll be charged for intentional damage to our property (e.g., tents, gear, vehicles). Reimbursements must be settled before departure.

Third-Party Providers

Winds of Hope uses hotels not under our control. Their terms and conditions apply. We aren’t responsible for their performance.

Personal Expenses

Bring adequate funds for personal spending. We aren’t responsible for shortfalls or inability to cover expenses such as tips, meals, or souvenirs.

Equipment for Climbs

Group equipment is included. You must bring personal gear or rent from us (available for a fee). Rental gear is well maintained and renewed biannually.

Luggage and Valuables

We aren’t liable for airline delays or lost luggage. If you lose gear en route, we’ll provide equivalent items free, but only for those verifiably lost in transit. Delivery from the airport to your hotel will incur a fee.

Secure your valuables at all times. You may request to store items in our office safe, for which we assume responsibility.

Media Consent

Photos and videos taken during tours may include you and may be used by Winds of Hope for marketing. Please notify staff prior to the start of your climb if you do not wish to be photographed or videod.

Force Majeure

We aren’t liable for events outside our control (e.g., natural disasters, political unrest, strikes, equipment failure, etc.).

Feedback & Complaints

If you have concerns, first speak with your tour manager. If unresolved, contact our senior team. We aim to respond within 48 hours.

Legal Jurisdiction

All matters arising under these Terms shall be governed by the laws of the state of Victoria, Australia.
